ARKCE

Data Capture Now. A Platform (and Events) Next.

Tom Pycraft

FIRSTLY

Thanks for talking us through where Arkce is right now: hard drives full of brilliant content, one Mailchimp automation doing the work of five, and a platform that exists in your head before it exists online. Everything that follows is built around fixing that, in the order that actually moves the needle.

[01] THE BRIEF

WHAT YOU TOLD US

Everything below has been put together specifically for you based on what you told us.

What We HEARD

You're building something bigger than events: sustainable food systems, regenerative agriculture, nature restoration, and the platform to carry it all. But right now every report, recording and article you've ever produced lives on a hard drive instead of a database. One Mailchimp automation does everything, reports and signups, and it's slow, with no way to tell who's actually engaging. People miss your events because there's genuinely nowhere on the site to say 'keep me posted'. You don't need a rebrand. You need the infrastructure to catch up with the mission.

PROJECT SCOPE

A phased build starting with proper data capture and a working Reports hub tied to Mailchimp, then growing into the archive, database and event-and-social capture system Arkce needs to run eight events a year and counting. There's also room to pick up ad hoc design support alongside that, especially with things shifting on the design side for you at the moment.

[02] BEFORE WE START

WHAT WE'RE
NOT DOING

A full member-login portal - you don't need the password headache yet, the email-unlock model gets you the same data with none of the build cost.

X

Off-the-shelf CRM software - Notion or Monday sit behind what you already use, so nothing you're paying for goes to waste.

X

The joint venture site build - that's real, but it needs your partner's site scoped properly first, so it sits in phase two, not this proposal.

X

A rebrand - the site already shows what Arkce is well. This is about the plumbing behind it, not the paint.

X

[03] THE OPPORTUNITY

The gap between being a platform and having one.

THE OPPORTUNITY

Every report that never gets read twice, every attendee who says 'I didn't hear about that one,' is content and demand you already earned, walking out the door. With data capture live and your archive in one place, the year-round touchpoint you're describing stops being an aspiration and starts being infrastructure, so eight events next year (plus a first US push) build an audience instead of just filling a room.

COMPETITIVE CONTEXT

You're not competing with other conferences for attention, you're competing with how easily people forget. Sponsors and attendees need to see a live, current platform behind the events, not just a website that goes quiet between summits.

You're not competing with other conferences for attention, you're competing with how easily people forget. Sponsors and attendees need to see a live, current platform behind the events, not just a website that goes quiet between summits.

YOU'RE NOT MISSING AN AUDIENCE. YOU'RE MISSING A WAY TO KEEP THEM.

[04] THE STAGES

THE APPROACH

Short Term, Long Term

DATA CAPTURE

01

Site-Wide Sign-Up

A homepage capture, popup or permanent module, wired straight into Mailchimp, so anyone who lands on the site can actually join the list instead of leaving with nothing.

A Proper Reports Hub

Every report gets its own page and its own URL, gated by a simple email-unlock instead of a password. Same data capture, none of the member-portal overhead.

Fixing the Download Bottleneck

A direct-download flow so people get the report the second they hand over their email, instead of waiting hours on Mailchimp to process a big file.

THE ARCHIVE

02

Mailchimp Into Funnels

Automated sequences and tagging so a report download, a sign-up and an event enquiry all behave differently, and build you a segmented, usable audience instead of one flat list.

A Database That Isn't Just Mailchimp

A move to something like Notion or Monday behind the scenes, so you can see exactly who's engaging and track them properly as the list and the events multiply.

The Platform, Properly

The unlock model becomes the front door to a genuine archive, every recording, report and article you've ever produced, in one place instead of scattered across hard drives.

THE NETWORK

03

Events, Captured Properly

Five Six on the ground at your events, shooting content that feeds straight into both the archive and your socials, so nothing from the eight events next year (plus the US push) gets lost the way the last two years have been.

The Joint Venture Site

A standalone site for the food and national security conference, with a shared CMS so your partner publishes once and it reaches both audiences without double the work.

Social Off Your Plate

A dedicated content plan and posting schedule, so Annie isn't carrying event season on top of everything else.

[08] THE REASON

Why Us

We've built this exact kind of data capture and Mailchimp infrastructure before, for Bisalta Travel, so we know it holds up under a real events calendar, not just a portfolio site. And we work hand-over-the-keys: we set it up, teach you how it runs, and it's yours, not a retainer you're stuck renewing to keep the lights on.
